Assistant Volunteer Director

(Needs National Approval)

Purpose: Manage and direct conference volunteer planning, recruiting and deployment.
Commitment Level:  Leadership - 3-4 Months
Average per week - 5-10 Hours
Responsibilities:  Reports to: Volunteer Director
Works closely with: Volunteer Recruiting Coordinators, Volunteer Check In Supervisor, All Volunteer Team Leaders

  • Build volunteer executive team to help plan and recruit.

Purpose: Recruit conference volunteers for assigned teams. Provide direction to the Food Team-Program Distribution Team through the captain and or supervisor. Provide tangible servant leadership during the conference to troubleshoot, encourage, and support the Logistics Group.
Commitment Level:  Leadership - 4 Months
Average per week - 5 – 7 hours

Credentials Clerk

Purpose:  Control and issue of Promise Keepers credentials.
Commitment Level:  Conference - 1 day

Responsibilities pre-Conference:

  • Help recruit other volunteers.
  • Pray for the conference.
  • Gain an understanding of the purpose and general procedures for issuing credentials at the conference.

Responsibilities during Conference:

  • Setup the Credential Check-In area.
  • Check out credentials kit from Volunteer Director or HQ Manager.
  • Inventory credentials, equipment, and supplies
  • Issue and track pre-conference credentials Friday for staff, production, speaker hospitality and other personnel required to be on site.
  • Communicate regularly with Volunteer Director and Event Director.
  • Supervise Credential operations Saturday during the conference:
    • Issue wristband credentials to Staff, Production, Security, and Special Guests according to established guidelines.
    • Track and control credential wristbands issued and inventory unused credentials
    • Answer questions regarding access levels and reporting locations.
    • Enforce credentials policies in firm, but polite manner.
    • Ensure credentials, equipment, and supplies are kept secure (never left unattended).
  • Assist with the closure, tear down and clean up of the Credentials area.
  • Inventory and return all unused credentials.
  • Debrief with Volunteer Director and/or Event Director as requested.

Purpose: Maintain an orderly process for volunteer check in, credential issue, T-shirt issue, and deployment.

  • Setup volunteer check-in area
  • Train the Volunteer Check in Team.
  • Oversee and supervise Volunteer Check-in operations including:
    • The check in of pre-assigned and walk up volunteers.
    • Issuance and control of Volunteer Credentials.
    • Issuance and control of T-shirts.
    • Evangelism and Usher check in (no t-shirts for these 2 teams)
  • Utilize various reports, rosters, and maps in this process along with credentials (wrist bands) t-shirts, signs and banners, supplies, materials, and forms i.e., Release of Liability form.
  • Monitor volunteer "no shows” cancellations, shortages, and excesses and communicate to Volunteer Director.
  • Ensure volunteers are greeted and directed to appropriate check-in area.
  • Ensure Check-in Team receives breaks and meals as scheduled.
  • Provide conference information and directions to volunteers and conferees.
  • Verify credentials and check-in materials are secured (never left unattended).
  • Help keep the area neat and tidy.
  • Assist with closure and clean up activities:
    • Inventory report (T-shirts, signs, banners, supplies, white board, etc.).
    • Pack materials, supplies, and equipment for shipment.

Responsibilities during Conference:

  • Ensure Volunteer Agreement Forms are filled out clearly and accurately.
  • Collect Volunteer Agreement Forms and provide volunteers with credential, meal designations and direct to T-shirt distribution if applicable.
  • Direct volunteers to their appropriate conference team location.
  • Keep ongoing list of “walk up volunteer needs” as directed by the Volunteer Team.
  • Maintain maps and information as described above.
  • Provide conference information and directions to volunteers and conferees.
  • Help keep area neat and tidy.

Retail Team Lead

Purpose: Meeting the needs of the retail volunteers and assisting the Retail Mgr.
Commitment Level: Leadership 2 - 3 months

Works closely with: Retail Team

  • Assist with store set-up.
  • Assist in the training of volunteers if requested by Retail Mgr

  • Assist the Retail Manager in implementing the set-up and break-down process for all product and equipment.

Note: Heavy lifting may be necessary

Purpose: Staff the working level positions for retail sales and assistance. These include customer assistant, cashier, and cashier assistant.
Commitment Level:  Conference 1 to 2 days
Average per day 10 hours

Works closely with: Retail Team Lead, Retail Team Members

Responsibilities pre-Conference:
  • Help recruit volunteers.
  • Pray for conference.
Responsibilities during Conference:
  • Familiarize yourself with the store, store products and prices.
  • Cashier - Enter customer sales in register (efficiently and correctly).
  • Cashier Assistant – Bag merchandise at Point of Sale.
  • Customer Service
  • Assist customers with products (sizes, location, color, etc.).
  • Ensure displays are organized and “shopable”.
  • Help keep the store clean and neat (break down card board boxes, remove trash and boxes).
  • Notify Retail Manager of any labeling/price discrepancies.

  • Assist with inventory, packing of product and palletizing where appropriate.

Development Host/Hostess

Purpose: To assist the Promise Keepers Development Hospitality Team as we meet, greet, host and serve our “Family & Partners of PK” at the Conference. There are two primary hosting assignments, “Check-in Hosting,” and “Seating Hosting”.
Commitment Level:  Conference 1 Day
Responsibilities:  Conference
Reports to: Development Manager
Works closely with: Development Host/Hostess

Pre-Conference Responsibilities:

  • Assist Development Manager with City Transformation Donor Gathering. Be ready to cordially greet these guests, check them in, and issue conference credentials/wristbands.

Conference Responsibilities:

  • Go to Volunteer Check-in to receive your conference credential/wristband
  • Meet Development Manager at the Development Guest Check-in area.
  • Training will be on site with a Venue Tour with Team and become familiar with key areas of interest for “Family & Partners of PK”
  • Confirm your Hosting Assignment (“Check-in Hosts” or “Seating Hosts)
    • Check-in Host/ Hostess–
      • Assist Check-in Manager in setting up Development Guest Check-in Table
      • Assist in distributing Special Guests Credentials and Packet Information
      • Assist in checking in our Friends and Family of PK
      • As needed serve as possible host/hostess in the Family & Partner suites and/or seating areas as directed
    • Seating Host/ Hostess –If / When Needed
      • Assist Development Mgr. in setting up “Family & Partners of PK” seating area(s)
      • Assist in checking in our “Family & Partners of PK”
      • Escort guests to suites/seating areas as needed

    Headquarters Assistant

    Purpose: Assist the Promise Keepers Headquarters Office and to help with administrative functions for Promise Keepers during setup and the conference. Must have minimal computer experience.
    Commitment Level: Conference Days 2 days

    Responsibilities:  Pre-Conference, During Conference
    Reports to: Headquarters Manager
    Works closely with: Event Director, Headquarters Manager, Facilities Captain, PK Tech Manager

    One person needed to work all days.

    Responsibilities pre-Conference:

  • Pray for the conference.
  • Become familiar with the Volunteer Leadership Team and their roles.
  • Talk with Headquarters Manager to discuss this position and review operating procedures.

    Responsibilities during Conference:

  • Check in at the Volunteer Check-in booth.
  • Familiarize yourself with general conference information and facilities.
  • Receive general orientation of event area
  • Assist the PK Headquarters Manager with all administrative functions of PK Headquarters. This is essentially a communications center for the ministry and there will entail answering phones, copying, faxing and some computer work on MS Word and/or Excel.

    Note: This position requires:

  • Calmness in a “fast paced” environment.
  • Detail oriented, able to keep track of multiple activities
  • Must be competent with MS Word, and MS Excel.

    Battery Runner


    Purpose: Supply conference radio users with fresh batteries and return drained batteries for recharging.
    Commitment Level:  Conference 2 days
    Average per day 4 – 10 hrs
    Responsibilities:  Pre-Conference, During Conference
    Reports to: Radio Administrator
    Works closely with: Radio Admin, Radio Control
    All PK conference radio users

    MUST be at least 16 years old.

    Responsibilities pre-Conference:

    • Pray for the conference.
    • Receive assignment and instructions for check in and reporting.
    • Familiarize yourself with general conference information.
    • Familiarize yourself with venue layout and all work areas.
    • Help recruit volunteers.
    • Review battery/clip removal and installation process.

    Responsibilities during Conference:

    • Process through Volunteer Check-in Booth to receive conference credential/wristband.
    • Review general orientation of event area and where radio users may be located.
    • Review PK conference radio operations.
    • Collect radio/head set and understand personal liability for radio equipment.
    • Receive specific duty assignments from Radio Administrator.
    • Turn in radio and battery runner credential (if applicable) upon completion of your day.

    Note: Physically demanding with lots of walking and stair climbing. Wear comfortable clothing and shoes. This position requires you to remain calm in a “fast paced” environment. Must be able to receive and quickly act upon verbal instructions from Radio Control and Radio Administration workers.

    Facilities Captain


    Purpose: To recruit, manage, and direct the Facilities team in preparation for the conference. Provide tangible servant leadership during the conference to troubleshoot, encourage, support and direct Facilities team.
    Commitment Level:  Leadership - 2 – 3 Months
    Average per week - 5 hours
    Responsibilities:  Pre-Conference, During Conference, Post Conference
    Reports to: PK Staff / Facilities Mgr.
    Works closely with: Event Director, Retail Manager, Logistics Recruiting Mgr., Arena Event Manager

    Responsibilities pre-Conference:
    • Help recruit volunteers.
    • Attend scheduled conference planning/prayer meetings.
    • Pray for the conference.
    • Become familiar with job descriptions and schedule for Facilities Team positions.
    • Motivate, instruct, and supervise Facilities Team. Participate in a site visit to acquire complete working knowledge of the venue. Obtain an advance PK venue room list (if available) with table and chair needs.

    Responsibilities During Conference:
    • Affix room assignment signs --in accordance with venue rules-- to ancillary rooms assigned to Promise Keepers.
    • Ensure every assigned PK ancillary room has all the necessary chairs and tables in accordance with room assignment list.
    • The venue usually provides the chairs at no cost, and if the venue’s tables are available –at no additional cost we will use their tables. This expedites the load in and out process.

    Responsibilities During Conference:

    • Assist with the basic setup needs of all PK logistical areas.  This may include distribution of tables, chairs, as well as Pipe and Drape setup to Retail/Exhibit area.
    • Affix room assignment signs --in accordance with Venue rules-- to ancillary rooms assigned to Promise Keepers.
    • Assist and complete all tasks assigned by Facilities Captain or Logistics Coordinator.
    • You may be called upon to assist the Usher Team with placement of Trash bags prior to end of the Friday setup day.
    • Help with the trash bag pickup Saturday evening if available.

    Purpose: To recruit, manage, and direct the Special Needs team in preparation for the conference. Provide tangible servant leadership during the conference to troubleshoot, encourage, support and direct Special Needs team.

    • Motivate, instruct and supervise special needs team.
    • Participate in pre-site visit to acquire complete working knowledge of the venue, specifically as it relates to special needs in the areas of entrances, parking, restrooms, elevators, first aid, and Special Needs seating areas.
    • Develop special needs plan including a copy of venue map (if available) delineating handicap entrances, parking, restrooms, elevators, and first aid.
    • If available, obtain copy of venues special needs plan.

    Responsibilities During Conference:

    • Oversee special needs team to ensure constituents are receiving care.
    • Ensure teams are in place as scheduled.
    • Ensure that Special Needs seating is set up, removing chairs and roping off –caution tape--as necessary.
    • Coordinate replacement of chairs in special needs section if determined that seating will not be used for special needs.

    Purpose: Issue and collection of PK conference radios. Must have minimal computer experience.

    • Pray for the conference.
    • Become familiar with the Volunteer Leadership Team and their roles.
    • Talk with PK Tech Manager to discuss this position and review operating procedures.

    Responsibilities during Conference:

    • Check in at the Volunteer Check-in booth.
    • Familiarize yourself with general conference information.
    • Help recruit volunteers for Battery Runner(s)
    • Help set up Radio Administration room with required equipment and materials.
    • Assist with pre-conference radio inventory of radio equipment.
    • Receive general orientation of event area and where radio users may be located.
    • Review operation of PK conference radio.
    • Collect radio/headset and understand personal liability for radio equipment.
    • Review battery/clip removal and installation process.
    • Assist in training Battery Runner(s).
    • Issue radios, headsets, bullhorns and user instruction handouts.

  • Secure “Driver Applications” and “Volunteer Forms from each driver.
  • Plan the pickup and delivery of loaned or rental vans.
  • Create signage and numbers for “PK Shuttle” vans.
  • Participate in securing donated cell phones and equipment (chargers and cigarette adapter plugs). See if you can get local Cellular Sales Office to donate phones for 2 – 3 days
  • Fill in schedule with available drivers and greeters.
  • Assist Transportation Manager in making sure Driver’s Handbook is complete with Insurance COI,and Accident Forms are in the dispatched vans at all times.

    Purpose: Coordinate distribution of Promise Keeper programs (conference handbooks) to attendees. Distribute conference related material to conferees. Supervise additional responsibilities as directed.

    • Pray for the conference and the men attending.
    • Recruit the Program Distribution Team members.

    • Become familiar with the team job description.
    • Check out the loading dock and the likely area for PK stuff (i.e. conference handbook/program pallet) to be located.
    • Find out which gate/entrances will be used to gain entrance by the attendees.

    Responsibilities during Conference:

    • Program / Conference Handbook Distribution
      • Meet with Frances Friday afternoon at the venue --to develop a distribution plan (receipt, staging, & distribution) for the programs.
        • Coordinate the contents of the programs / conference handbooks and obtain Frances Ulibarri's approval for any & all inserts. Note: We can not accept requests from Exhibitors to add their material/inserts.
        • Handle the delivery of programs to the various gate entrances & distribution points. Ensure the programs are located near the gate entrance and in place prior to door opening time
    • Let Volunteer Check In know which entrance the Program Distribution team reports to for instruction and deployment. This is usually the nearest gate/door entrance the attendees come through.
    • Ensure the programs are ready and in place Friday afternoon (setup day) prior to the end of the day. 
    • Ensure your team is in place by 20 minutes prior to door/gate opening. 
    • Oversee distribution of programs.
    • Coordinate breakdown and disposal of cardboard in accordance with venue policy.
    • Check with the Food Captain –to determine if they need additional help with the Saturday Lunch distribution. If so, re-deploy as many of your team members as possible in accordance with the need.
    • Assist with any additional items requiring distribution to the “seated” attendees.

    • Breakdown and dispose of empty boxes.

      • Assist the Attendee Food Team/Servers for the Saturday box lunch when needed

    Responsibilities pre-Conference:

    • Become familiar with job descriptions for the Usher Supervisors and team members.
    • Coordinate with the Logistics Recruiting Coordinator to recruit your team.
    • Obtain general event information see http://www.promisekeepers.org/ look for Registration Information and Schedule / Important Details.
    • Visit the venue to familiarize yourself with venue layout. Contact the Assistant Volunteer Director to arrange a visit to the venue. Note: It’s best to have as many Usher Supervisors with you as possible.
    • Obtain diagrams identifying sections and seat count. You’ll need electronic and hardcopy.
    • Develop a written Special Event plan with assistance from the PK IFR Manager, Security Captain and Usher Supervisors. This plan is turned in to the PK IFR Mgr and Logistics Recruiting Coordinator --one month prior to the conference. Note: Contact the PK IFR Manager for plan details and sample plan.
      • Determine the number of Usher Supervisors and Ushers required.
      • Determine sections assignments for Usher Supervisors and Ushers
      • Number of buckets and bucket flow.
      • Determine length of collection time (as identified in the program MBM)
      • Complete schedule and section assignment worksheets.
      • Identify recovery plan for buckets & usher vests. Every bucket must be returned!
      • Coordinate with the Security Captain.
      • Obtain the “updated” Saturday start time for the “Special Event”.
    • Review plan for: Trash bag placement inside the venue before gates open Saturday 7:00 am. And trash collection at the conclusion of the conference --gathering bags to disposal site.

    • Meet with Usher Supervisors to review Special Event Plan.
    • Implement the Special Event Plan –coordinating with the IFR Manager, Security Captain and Facilities Captain.
    • Ensure Usher Supervisors are actively recruiting the Usher Team (Saturday morning) –as the attendees arrive to the venue.
    • Ensure two Usher Supervisors are assisting the “Volunteer Check-In Team” to check in each usher.
    • Oversee the distribution of Usher vests and basic instruction sheet to Ushers as they check-in.
      • Note: A meeting time (on Saturday morning) and meeting location must be determined in advance and passed on to each Usher as they check in.
        Conduct Usher training meeting on Saturday morning (day of conference).
    • Coordinate trash bag placement and subsequent trash collection –to ensure bags are in place prior to Saturday gate opening – this is best done Friday afternoon by the Supervisors. The Facilities Captain can help communicate with the venue.

    3. Attend venue walk through with the Captain paying careful attention to the “inner bowl” where attendees will sit. Specifically look for the “bucket flow” for the Special Event.

    Responsibilities during Conference:

    • Meet with Usher Captain to review Special Event Plan.
    • Recruit Usher Volunteers (Saturday morning) as attendees come to the venue.
    • Two Usher Supervisors work together with a Volunteer Check-In person to check in Usher volunteers and the distribution of Usher vests and basic instruction sheet.
      • Note: A meeting time (on Saturday morning) and meeting location must be known and passed on to each Usher as they check in.
    • Establish section assignments for your team.
    • Attend Usher training/meeting on Saturday morning (day of conference).
    • Coordinate with Usher Captain for delivery of buckets to distribution point.
    • Confirm buckets are distributed to usher location point(s).
    • Count number of buckets to be distributed.
    • Facilitate bucket flow in assigned area and monitor en-route to collection “drop point.”
    • Ensure that all buckets are accounted for upon completion of Special Event.
    • Place trash bags every 5 - 7 rows well before venue gates open! Friday afternoon may be the best time to place these bags.
      • Lead the subsequent trash collection inside the venue Saturday evening after conclusion of the event.

    Usher volunteers must be registered for the conference.
    Purpose: Implement the Special Event plan for your assigned area --ensuring a smooth collection process. Distribute and collect conference related material if called upon and assist in the trash collection process.

    • Pickup Special Event buckets at meeting.
    • Pass buckets in assigned section.
    • Upon completion of Special Event, turn in buckets at collection point, and vests returned to Volunteer Check-In.
    • Supervisors may need your help to place empty trash bags at the end of every 5th row.
    • At close of program on Saturday --help pick up remaining trash in assigned section and remove trash bags as directed.

    Purpose: To provide security assistance to all areas of the conference for its duration.

    Works closely with: Volunteer Deployment Team, Logistics Recruiting Coordinator, Facility Captain, All Teams

    Special Qualifications:

    • Police or law enforcement \ Military or High Level Security Experience (active or retired)
    • Five (5) years minimum experience

    Responsibilities pre-Conference:

    • Help recruit volunteers in the areas of:
      • Security and radio communications
      • Door Monitors
      • Gate Monitors (Arena and Retail)
      • Stage Monitors
    • Attend scheduled pre-conference leadership / recruiting / prayer meetings.
    • Prepare a list of all conference-related departments and their respective leaders and responsibilities.
    • Prepare a list of law enforcement telephone numbers and contact persons.
    • Acquire or prepare a comprehensive map of the venue and its facilities (especially those specific to the conference).
      Identify all areas of security needs.
    • Conduct training sessions:
      • Security and radio communications for all security sensitive areas (need experienced police officers, fire fighters, paramedics, etc.).
      • Door Monitors to be posted at conference headquarters, speaker hospitality green room, retail, etc.
      • Stage Area Monitors to be posted at and to assist professional security in badge identification and crowd control, observing and referring any disruptive activities.
      • Retail Gate Monitors (If Applicable) to be posted at all Retail sales areas to maintain order in customer lines for those waiting to enter the sales area and limiting the number of customers in the Retail sales area to prevent over crowding.
      • Arena Gate/Door Monitor – Need one or two monitors per gate entrance
    • Prepare special security identification for each security person recruited.
    • Assist in arranging hired security (if requested by PK Event Director):
      • Escorts for runners.
      • Nighttime security for product areas, product trucks and other areas to be identified.
    • Coordinate with local, state and federal law enforcement regarding threat assessments or disruptive activities by groups or individuals targeting the event or participants (consult with the PK Event Director)

    • Assist conferees who are separated from their company or transportation.
    • Follow up and report to appropriate authorities any suspicious communication or activity.
    • Assist with crowd control, traffic control, access/credential control, Special Guest security and stadium security.

      • Tearing down security room and return equipment and materials to appropriate personnel.

    • Hand out trash bags and ask attendees to clean up and bring full trash bags to dumpster.

    Language Translation Captain

    Purpose: To work closely with the Spanish Interpreters, Languages Radio Supervisor (LRS), and Radio Distributors to ensure all services for Language Interpretation is working properly and ready for the start of the conference. To assist and serve the needs of the Interpreter Volunteer Team by determining, communicating, coordinating and meeting their needs. Assist the Spanish Interpreters with the interpretation process to ensure a quality translation during the conference.

    • Train Language Translation team volunteers Conference Friday at 2:30 p.m.
    • Support the Language Radio Supervisor as needed.

    • Request a copy of the program’s Minute by Minute from the Program manager or possibly PK Headquarters.

    Responsibilities during Conference:

    • Ensure by 7:00 AM on Saturday --all interpretation needs are met and ready to go by the above “gate opening” time.
    • Maintain close communication (via two-way conference radio) with the Spanish Interpreters and Language Radio Supervisor.
    • Serve as the runner and liaison between the Spanish Interpreters Language Radio Supervisor (LRS).

    Support the LRS:

    • To ensure all equipment, radios, supplies and signs are retrieved, inventoried, packed and in the crates.
    • Ensure all paper work is done before leaving the arena.
    • Ensure any PK Tables (if appliccable) used are collected by the Pipe & Drape Team
    • Coordinate with the Radio Distribution Supervisor to ensure that Radio Distribution Volunteers are in place to collect radios and earphones.

    • Friday 2:30 PM –Meet with the Languages Radio Supervisor –at an agreed upon location-- to receive training and review job responsibilities.
    • Set-up, do pre-inventory, check radios, earphones, and replace radio batteries (if needed) to make ready for distribution.
    • Be ready to assist in other duties as needed.

    Responsibilities during Conference:

    • Ready to go –be operational-- by 7:00 AM Saturday.
    • Be at the distribution table at all times. Must not leave the distribution table unless approved by the Language Radio Supervisor (LRS).
    • Change batteries and replace radios as needed.
    • Separate and document radios or earphones needing repair or replacement.
    • Have the attendee’s requesting a radio to receive the translation --fill out the forms with their information and have them sign it before assigning a radio and earphone.
    • Assist in other duties as needed.

    Responsibilities post-Conference:

    • Check off names as radios and earphones are returned.
    • Inspect every radio to ensure they are turned off.
    • Repack every radio and earphone in the appropriate bins.
    • Ensure that all paper work is done before allowed to leave.
    • Ensure that all tables, chairs and furniture are put away at the proper destination.
    • Assist in other duties as assigned by the LRS.

    • Meet with the Language Radio Supervisor (LRS) and Language Translation Captain --Friday 2:00 PM at an agreed upon arena location-- to go over job responsibilities and ensure translation area and equipment are setup.
    • Be ready to study the materials provided on-site.
    • Be ready to assist in other duties as needed.

    Responsibilities during Conference:

    • Be operational by 7:30 AM on Saturday.
    • Maintain close communication with the Language Radio Supervisor and Language Translation Captain for troubleshooting and assurance of quality service.

    Responsibilities post-Conference:

    • Ensure “all” translation equipment is properly repacked into the Language Translation upright rolling case.
    • Ensure all paper work is completed.
    • Coordinate with the LRS and notify him that the case is packed and ready for pickup.

    Speaker Hospitality Assistant

    (Same person all shifts)

    Purpose: To facilitate all aspects of the speaker team and to serve where needed. Positions to serve where needed --will be directed by the Manager or Captain. Such positions may be: monitoring stage right or speaker hospitality room, speaker driver, speaker runner, speaker greeter, speaker host which escorts an assigned Platform Team member (Emcee, Speaker or Musician) to and from airport, hotel, and event during his entire stay. The Speaker Assistant / Driver will serve and assist and communicate with the speaker/musician in completing his conference agenda.
    Commitment Level: Same Person - both days.

    • Speaker Greeter/Host: To welcome, greet and escort an assigned platform team member (Emcee, Speaker, and Musician) to and from hotel and venue. They communicate with speaker, musician, and logistical information during conference activity.
    • Speaker Monitor: Monitors will be stationed at assigned areas such as Speaker Seating, Speaker Hospitality Room, Hotel, Loading Dock etc. Monitors will monitor arrivals and departures of speakers. They serve and assist Platform Team in completing their conference responsibilities.
    • Speaker Runner: Fulfill errands for Speaker Hospitality Team assignments and perform duties as assigned by the Manager. May be called upon to serve in any capacity

    Pre-Conference Responsibilities:

    • Attend Final Team Meeting Friday 5:00-7:00 PM or other confirmed time.
    • Be familiar with all routes to and from the venue, hotel, and airport.
    • Be familiar with all venue room assignments and participate in venue walk through.
    • Receive and discuss initial conference assignments and logistics with Manager

    • Manage Speakers Conference Schedule. Be aware of speaker arrival time, stage time; speak time, media time, prayer time, and departure. Be aware of speaker’s location (venue, hotel, airport, etc.)
    • Take direction from Manager as to where you are needed the most (host, monitor, etc.) Be available to serve wherever required.
    • Be pro-active. Stay flexible.
    • Be pro-active in communicating with the speaker concerning his conference schedule and shuttle times.

    Conference Day:

    • Follow instructions on Prayer room: Guidelines, assignments, shifts, meals, breaks, etc.
    • Maintain the unity of the room. If you get a sense that something is not right and it can take the team out of the flow of the Spirit, share your concern with the Prayer Room Coordinator and he will decide what action to take
    • Do not roam the halls of the arena unless you are on a prayer assignment
    • Be flexible when changes occur in the Prayer Room. Conference needs will arise suddenly. Speakers, staff, and volunteers will come in periodically for prayer. You will be asked to gather to pray. Follow the instructions by the Prayer Coordinator.
    • Changes could be taking place while you are out on a break. If when you return something new is happening, do your best to fit in to what is going on in the room without disrupting the flow of the Spirit.
    • Reminder: Keep in mind that during the conference, you must be focused on the Conference program, speakers, attendees, PK staff and volunteers. This is not a time to minister to each other. If a need arises, please discuss it with the Prayer Coordinator.

    Pre-Conference responsibilities:

    • Assist the Prayer Room Captain and the Prayer Team in prayer for the speakers, attendees, their families, and all the other conference needs
    • Participate in prayer assignments and prayer walking prior to the Conference
    • Join the Prayer Team in praying over the arena seats, prayer walking and in the Prayer Room

    Conference Day:

    • Act as “gate-keeper” stationed at the registration table or by the door at the beginning of each shift, checking in the team. For those who have not pre-registered for a shift, discern whether or not they should participate in the Prayer Room. If not, consult with the Prayer Coordinator and if need be, direct him/her back to the Volunteer Check-in to serve in another capacity
    • Hand out the Prayer Room Instructions and the Prayer Room Protocol to participants to review. Ask them if they agree with the instructions
    • Take the position of observer and assistant in the Prayer Room.
    • Be sensitive to every one involved
    • Watch for potential problems –advising the Prayer Coordinator as your encounter them.
    • Seek to unify intercessors to pray across denominational and ethnic lines
    • Utilize spiritual mapping. And assist Prayer Coordinator in guiding the focus of the team
    • Use the minute-by-minute grid (provided by PK) to remind the Prayer Coordinator of their scheduled assignments (a list can be provided by each of them)

    Pre-Conference Responsibilities:

    • Meet with the Prayer Coordinator/Manager to plan and discuss overall Prayer plan
    • Attend and assist the Prayer Coordinator at the prayer meetings
    • Help recruit Prayer Booth volunteers including Pastors
      • The prayer booth is staffed with both men and women
      • They do not need to purchase a ticket to the conference, since they are volunteering
    • Submit names and personal contact information --of volunteers you have recruited and assigned to the Prayer Booth-- on a weekly basis to the Prayer Coordinator so they can be added to the database.
    • Discuss with the Prayer Booth Team --operations, assignments, shifts, credentials, check-in and reporting instructions, and other specific responsibilities
      Pray for the Conference speakers, musicians and others sharing the platform, Conference logistics, staff travel team, volunteers, registrations, and for local pastors
    • This is a good time to minister to the Prayer Team and their needs

    Conference Day:

    • Oversee the Prayer Booth set-up (sizing, location, seating, access, and table location)
    • The Prayer Coordinator/Manager will request 12 chairs and 1 table for the Prayer Booth from the Facilities Captain
    • Meet with the Prayer Coordinator to discuss the weekend schedule and instructions
    • Ensure the Prayer Booth volunteers have checked in
    • Join the Prayer Team in the Prayer Room, time permitting, until the time your team is scheduled to arrive
    • Ask the Prayer Coordinator and Prayer Team to pray over the Prayer Booth volunteers before they report to their assigned shift in the Prayer Booth
    • With directions from the Prayer Coordinator—supervise the Prayer Booth
    • Give each team member a copy of the Prayer Team Job Description to review
    • Volunteers working the Prayer Booth need to sign in on the Check-in Sheet at every shift. The men coming in for prayer and ministry do not have to sign-in
    • When there is not much traffic in the Prayer Booth during the Conference, send a few of the team members at a time to the Prayer Room for prayer
    • The gates open 7:00 a.m. Program starts at 8:00 a.m. and ends at approx 5:00 p.m.
    • Pray with the attendees one-on-one, unless couples come in wanted prayer together
    • Be prepared for an overflow of attendees coming to the Prayer Booth after the altar call.
    • You are responsible for tearing down the booth after the Conference and storing all the banners and materials in the Prayer Crate. Ask the team to help. Coordinate this with the Prayer Coordinator/Manager

    Prayer Booth

    Purpose: One-on-one prayer with conference attendees

    Works closely with: Prayer Booth Captain, Prayer Coordinator/Manager

    Personal attributes:

    • Is in good standing at a Christian church, with a servant’s heart for leadership
    • Willing to be involved in prayer ministry crossing ethnic and denominational lines
    • Believes in and is committed to the Promise Keepers Seven Promises
    • Strong verbal communication skills
    • Willing to submit to the Prayer Coordinator’s leadership
    • Committed to pray in the Prayer Booth at the Conference site during your scheduled time

    Pre-Conference responsibilities:

    • Help recruit pastors and/or ministry leaders to work in the Prayer Booth during the Conference and submit candidates to the Prayer Booth Captain or Prayer Coordinator
    • The Prayer Booth is staffed with both men and women. They do not need to purchase a ticket to the conference.
    • Receive your assignment shift from the Prayer Booth Captain
    • Familiarize yourself with general conference information
    • Discuss Prayer Booth operations with Prayer Booth Captain
    • Pray for the Conference
    • This is a good time to minister to each other and pray for each other’s families

    Conference weekend:

    • Stop by the Prayer Room to be prayed for before your assigned shift
    • Pray with conference attendees one-on-one
    • Keep information shared in Prayer Booth confidential
    • Last shift - Assist with breakdown of the Prayer Booth and clean up activities

    ASL Interpreter (Local)

    (Must be approved by PK Nat’l)

    Purpose: To provide professional interpreting for clear communication to the Deaf concerning worship and the PK conference message.
    Commitment Level:  Pre-Conference
    Conference: Saturday 8 hrs.
    Responsibilities:  Pre-Conference, During Conference
    Reports to: PK Volunteer Director
    Works closely with: ASL Interpreters, Food Captain, Production Team, Volunteer Director

    NOTE: The ASL Interpreter is recruited in a joint effort between the local volunteer leadership and the PK National office / Volunteer Director. The final approval is made by the PK Volunteer Director. The PK Nat’l office will communicate all needs and policies to the Interpreter.

    Personal Qualifications:

    • Service oriented, caring, able to assist in interpreting for the Deaf men.
    • RID certified or equivalent.
    • Knowledge and practice of the Interpreter’s Code of Ethics.
    • Involved in continued education to issues related to Interpreters.
    • Familiar with the Deaf culture.

    RESPONSBILITIES:

    • Two months before the conference contact the PK Volunteer Director at 303-964-7832 to initiate the approval process. Network within the Deaf community to bring awareness of the PK conference in their area, providing promotional materials as needed. Pray for the work you will do at the event and for the Deaf men attending. Pray that lives are touched and messages presented clearly so the Deaf men can see what the Lord wants to communicate to their hearts.

    PRE-CONFERENCE

    • Wear proper attire, a pair of slacks are encouraged. Clean-cut appearance is requested (Hair and, if any beard or moustache are to be trimmed and groomed
    • Arrive by 7 am conference day (Saturday) checking in at “Volunteer Check-In” and pick up your credential/wristband.
    • Arrive at the Deaf Section seating area --at least 1 hour before the event begins. Please consider the driving time, traffic, and parking situation to allow for adequate time to get to the arena and check in–arriving in a timely fashion.
    • Setup the Interpreters “signing area” and music stand (*if available). Instructions are in the “black rolling case” along with the TV Monitor. Ensure the TV monitor/cable has also been setup/connected for the Interpreter. Ask the Production Manager to ensure the monitor is hooked up properly where the song lyrics display. Also, all cords need to be taped down or covered with cable covers --to prevent injury.
    • Rope off the Deaf Section --typically 2 rows in the first or second section on the lower bowl level stage left-- with yellow “caution” tape. This can be found in the rolling case or at Conference HQ. Since the conference is “open-gate”, it’s almost impossible to know how many Deaf men will show, please confer with the PK Volunteer Director or Event Director.
    • Make enough copies of “Reserved for the Deaf” signs and use “blue painters” tape to adhere to the back of the seats in the Deaf Section.
    • Make several copies of “Reserved ASL Interpreter” signs and have them taped on the front row of the Deaf Section.
    • Any needs regarding visibility or other support for your needs --please work with the PK Volunteer Director and/or the Event Director.
    • Pick up several copies of minute by minute from Conference Headquarters.
    • Check with the Program Manager to see if program transcripts are available. If so, make copies and distribute to the ASL Interpreters
    • Meet with the other Interpreters to encourage them and pray together for the lives of the Deaf men and for the anointing of the Lord to guide the Interpreters.
    • Contact PK Food Captain –via two way radio to ensure water is available for Interpreters.
    • During the altar call, the Deaf men who come forward should come to the floor in front of the Deaf Section in a way that allows them to still follow the ASL Interpreter as they translate the Evangelist message. If there are Pastors for the Deaf attending they can stand behind or to the side of Interpreter. Assign ushers around Interpreter’s area to secure room.

    DURING CONFERENCE

    • Be prepared to provide signs to the other interpreters if/when he/she is having a dilemma with some words from the speakers.
    • Identify the location of the altar call for the Deaf –it is usually located right next to the ASL Interpreter. Then explain to the Deaf audience where the altar call area for the Deaf will be –and not in front of the main stage.
    • Interpret one-on-one for Deaf men in the event they speak with a hearing pastor during alter call or other situations that may arise --as necessary.
    • Keep the Interpreter’s signing area clear. Do not allow men to lean on the black rolling case which houses the TV Monitor for the Interpreter.
    • Identify someone –possibly an Usher-- to block off the interpreter’s signing area and make sure the hearing men do not interfere with the Interpreter’s area.
    • Monitor the water cooler or containers to see if more ice or water is needed. This water is intended only for the ASL Interpreters.
    • End the conference in prayer and thanksgiving.
    • If lunch is provided on Saturday, obtain and distribute lunches to any Deaf men unable to pick them up themselves.


    POST-CONFERENCE:

    • Remove paper signs from the chairs, caution tape, etc from the Deaf Section area.
    • Assist in putting lights, supplies, and other equipment into the black rolling case as and ready for load out.

    Evangelism Captain

    Purpose: Recruit Evangelism (EV) Supervisors, build them into a team and work with them and others to facilitate the altar call at the conference.
    Commitment Level:  Leadership - Approx. 3 months
    Time Commitment - 2 hr./week Responsibilities
    Pre-Conference: Recruiting EV Supervisors, Conference: Saturday
    Reports to: Evangelism Manager
    Works closely with: EV Supervisors

    Who Fits Best? Best fit is a relational person able to communicate with, organize and lead others. Not suited for someone who thinks they will be intimately involved in the altar call.

    Responsibility Overview:

    In advance of the conference recruit and build the three EV Supervisors into a team. Organize and prepare the EV Supervisors for the altar call. While the new converts are coming forward at the altar call the EV Supervisors will not be praying with them because they have other duties coordinating behind the scenes. Handle the logistical preparation and set up the altar call and any additional responsibilities as needed. Deploy the EV Team for other duties.

    Responsibilities Prior to the Conference:

    • Recruit the 3 Evangelism Supervisors.
    • Meet with the EV Supervisors in advance of the conference to build team spirit.
    • Review and familiarize yourself with the Evangelism Check-Off Guide.
    • Get into shape physically so you can move quickly and be able to lift and move items.
    • Recruit EV Volunteers from the conference attendees as the doors open. Typically 95% of the EV Volunteers are recruited Saturday morning at the conference, however, they can be recruited in advance.
    • EV Volunteers who are recruited before the conference week can be instructed to report to the EV Check-In Table.
    • Instruct the men to look for the Evangelism signs.
    • All Evangelism Volunteers (must be registered for the conference)
    • Work with the Volunteer Director to determine the location of the EV Check-In Table.

    Responsibilities Conference Week:

    • Set up everything at the conference site logistically for the altar call.
    • Meet the Evangelism Supervisors at the Volunteer Check-In Area. Once they are all accounted for proceed to the arena floor.
    • Finalize the altar call “logistics” strategy and provide an overview of what needs to be done by the EV Team of Supervisors. This meeting explains how the altar call will transpire and other details.
    • Set-up the EV Training Area and EV Check-In Table.
    • Interact with the EV Supervisors and Training Team to ensure everything is accomplished in a timely manner.
    • The EV Supervisors will recruit the EV Volunteers near the door/gate opening time until all EV's are recruited and checked in.
    • Recruiting and training should be completed no later than two hours after door/gate opening in order to be ready for the alter call.  Check program for exact time of the altar call.
    • During the altar call direct the EV Supervisors in crowd control.
    • Immediately after the altar call help with the distribution of materials followed by the counting and sorting of the decision cards.
    • The PK Evangelism crate and/or the PK Headquarters will have the various EV supplies.

    Evangelism Supervisor

    Purpose: Work as a team with the other EV Supervisors both Friday & Saturday. For specific details please read responsibilities below.
    Commitment Level:  Leadership: One month before conf.
    Time Commitment: 1 hour/week
    Responsibilities: Pre-Conference: Meet together with other EV Supervisors to build team spirit.
    Conference: Saturday
    Reports to: Evangelism Captain
    Works closely with: EV Captain, EV Supervisor Team, EV Volunteers

    Responsibility Overview:

    Work with the EV team in the setup for the conference and recruit EV Volunteers Saturday morning. During the altar call you will supervise an area and be assigned to a specific task. You will not be praying with men coming forward to receive Christ.

    Responsibilities Prior to the conference:

    • Gather with the other EV Supervisors to get acquainted with them and build a team spirit
    • Assist the EV Logistics Supervisor in the recruitment of EV Volunteers for the conference.
    • Encourage conference attendees to register early for the conference.
    • Instruct any EV Volunteers to report early Saturday morning on the Friday of the conference to the EV Check-In Table. EV Volunteers will be directed from there to receive a 15-minute orientation.

    Responsibilities Friday of Conference Week:

    • Start at 8:30 PM, report to Volunteer Check-in to receive credentials/wristband.
    • Friday afternoon you will work with the other EV Supervisors to set-up the EV Training Area, EV Check-In Table, Prayer Booth and/or other needs pre-conference under the leadership and discretion of the EV Logistics Supervisor
    • Carry out assignments as requested by the EV Logistics Supervisor.
    • During the altar call you will help control the flow of men coming to the altar. You will not be praying with men coming forward. Your task is to supervise.
    • You will be assigned to specific areas and assignments to help the greater effort.
    • Immediately following the altar call you will help sort and count the decision cards.

    Responsibilities Saturday of Conference Week:

    • Start Saturday morning at 6:00 AM.
    • The EV Team may be re-deployed throughout Saturday at the discretion of the Event Director and will be completing tasks as he decides.
    • On Saturday you will see little if any of the conference.
    • .Once the conference is finished the EV Team will help teardown equipment and deliver crates to the loading dock.

    Purpose: To serve the attendees who respond to the altar call invitation during a Promise Keepers conference by praying with them. (You will not miss the conference)

    Responsibilities Pre-Conference:

    • Many conferences fill to capacity weeks before the conference. Please register early.
    • Become familiar with Ephesians 2:8-9 and pray for those who will make decisions for Christ at the conference.

    Responsibilities During Conference:

    • Prior to start of the conference; check in at the Evangelism Check-In table. The people at that table will direct you where to report for an orientation --receiving general instructions and prepare you for any challenges specific to the arena.
    • Pray with conferees according to the orientation received.
    • Additional duties as needed and directed by the Evangelism Manager.
