Headquarters Assistant

Purpose: To assist the Promise Keepers Conference Headquarters Office coordinating administrative functions for Promise Keepers during setup and the conference. Moderate computer experience necessary.

Reports to: Facility Captain

Works closely with: Conference Services Group I Leader, PK Conference Services Manager

Special Qualifications/Preferred Profile:

  • Calmness in a “fast paced” environment
  • Detail oriented, able to keep track of multiple activities
  • Must be familiar with MS Word, Excel, and copying machines
  • Able to work well with all people

Pre-Conference Responsibilities:

  • Talk with Facilities Captain to discuss duties and review operating procedures
  • Help to ensure the conference is “SOLD OUT”
  • Become familiar with the Volunteer Leadership Team and their roles
  • Help with HQ Office setup if needed
  • On Friday pre-conference obtain a PK National Team Schedule, PK Staff Travel Team info sheet, PK Hotel Rooming List, Program Minute-by-Minute for posting in HQ
  • Review operation and procedures for PK conference radios

Conference Responsibilities:

  • Familiarize yourself with general conference information and facilities, various PK function locations throughout venue
  • Help assist with the pre-conference inventory of the conference radio equipment
  • Receive general orientation of event area
  • Help with all administrative functions of PK Headquarters as this is essentially a communications center for the ministry and can entail answering HQ phones (if available), copying, credential production, and some computer work on MS Word and/or Excel
  • Assist with conference radio distribution and administration if/when needed
